Important information

Start times

SATURDAY

All Nordic walkers can start together from 10:00 a.m.!

Start window: between 10:00 a.m. and 12:00 p.m.

09:45 a.m. – 800 m Kids’ Run
10:00 a.m. – 1900 m Kids’ Run
10:30 a.m. – 34 km
11:00 a.m. – 27 km
11:40 a.m. – 18 km – Group 1
11:50 a.m. – 18 km – Group 2
12:00 p.m. – 14 km – Group 1
12:15 p.m. – 14 km – Group 2
12:30 p.m. – 14 km – Group 3

Collect your starting number

You will receive an email with your bib number a few days before the event. You must present this email along with your ID when collecting your bib number. A companion can also collect your bib number. This person must present your bib number (which will be sent to you via email) and a copy of your ID.

COMPANIES/GROUPS:

All race numbers will be distributed in groups one week before the event. This allows you to distribute the race numbers within your company in the week before the event. Race numbers from a group will only be distributed together. Participants in a group cannot collect their race numbers individually.

 

Please bring safety pins to attach your race number.

Change of distance or runner

Changes are only possible on-site when picking up your race number, and only one or two days before the race. Changes are no longer possible on the day of the race or online. The change fee is €3. If the entry fee is higher, the difference must be paid. If it is lower, no refund will be given.

Arrival

Public transport in Luxembourg is free. Take advantage of it!

Time limits

There is no official time limit. Access to the Aqua Tunnel closes at 4 p.m.

Baggage drop-off

Luggage storage

In our "UrbanTrail-Village," luggage storage is available. Please use ONLY the provided bag that you receive with your race number to store your personal items or clothing! Other bags, items, or containers cannot be accepted for luggage storage. The organizers assume no liability for loss or theft. Please remember not to leave any valuables in your personal belongings.

Team Run

Further details will be communicated. The first runner will start at the Cité Judiciaire. The second relay runner will start... . The third runner will start... .

Equipment

Tunnel Passage: A headlamp or flashlight is recommended for the approximately 1 km long tunnel.
27 km Course: Recommended: personal provisions (food + water or a sweet beverage).
34 km Course: Recommended: same as for the 27 km course, plus a functioning mobile phone.

Refreshment stations

There are refreshment stations approximately every 5 km (km 5, 10, 15, and 20) where you can get drinking water. Please note that you will only receive water if you bring your own cup. Due to environmental regulations, no cups or bottles will be provided. Fruit and vegetables may be available at individual stations depending on availability, but as these are limited, please bring your own provisions.

Medals, prizes and award ceremony

Every participant, both in Nordic walking and running, who reaches the finish line will receive a medal, including all of our children. The top three runners on Sunday in each race will also receive a trophy and prize money. The times for the awards ceremony will be announced later.

Showers, changing rooms and toilets

Changing rooms and toilets are available in abundance in our "UrbanTrail-Village." Showers can be used after the Nordic Walking or run at the “Badanstalt”: 12, rue des Bains, 600 meters on foot from the Cité Judiciaire. Simply show your race number to access them.

Security

You are not on a closed course. Please obey the road rules and respect yourself. Injured participants must flag down another participant or call an ambulance. You also have the option of asking the nearest aid station to take you back to the Cité Judiciaire.

Children participating in the UrbanTrail remain under the responsibility of their parents or guardians at all times. Please note that you participate at your own risk and are responsible for your own safety.

Results and photos

Results will be available on our website after the Nordic walk and run. External photographers will be taking photos along the course, which you can then purchase through their website. Please note that we, as the organizers, will not take photos of you. However, your family and friends will have the opportunity to cheer you on along the course and take photos of you as well.

Environment

The organizing team strives to make the UrbanTrail environmentally friendly. Please help us avoid littering. Please use the provided trash cans! This applies both along the route and in the finish area or in the "UrbanTrail Village."

FAQ

Can I sell my race number?

You can offer them on our Facebook page. It is strictly forbidden to resell your race number for payment elsewhere. Name changes in the system are possible on the day you pick up your race number. This costs €3. The printed name on the race number cannot be changed!

How is the participation fee calculated?

Our run is organized by us as a non-profit organization – not by a commercial promoter. The fees primarily cover running costs such as permits, materials, electricity, water, T-shirts, backpacks, bib numbers, timing, and refreshments. We also use a portion of the proceeds to support the many volunteers from other clubs – for example, sports, music, or youth clubs. This way, several organizations benefit. The focus of our run is not on profit, but on creating a special event filled with exercise and enjoyment.

I am sick/injured. Can I return the ticket?

We will refund 75% of the entry fee. To receive the refund, please submit a copy of your medical certificate confirming your inability to participate. Please also provide us with your bank details.

I don't meet the age limit, can I still participate?

Unfortunately, we cannot make any exceptions here. We adhere to legal requirements and the specific safety and age guidelines for trail runs. These rules are important to ensure the physical demands and the safety of all participants. Therefore, even with parental consent, participation is not possible. However, we hope you'll join us again in a few years – then you'll be officially eligible to run!

Regulations

General rules

Respect for Others: Respect for yourself and others excludes any form of cheating (e.g., shortening the course, using prohibited substances). There will be checkpoints at various points along the course. A respectful attitude toward all involved—volunteers, organizers, partners—is expected. The local population, who make the event possible, also deserves this respect.

Respect for the Environment: Please use the waste bins provided at the start, finish, and refreshment stations. Littering along the course is prohibited and may lead to disqualification. Whenever possible, use public transport, carpool, or bicycle to travel to the event.

Compliance with Traffic Regulations: Traffic rules must be observed throughout the entire run. Police instructions must be strictly followed. Participants do not have automatic right of way when crossing streets.

Withdrawal and Disqualification

Except in the case of injury, withdrawal is only allowed at a checkpoint (refreshment station or, for the 27 km course, at the two Thionville Road intersections at km 14.5 and km 18.6). The responsible person must be informed, and your race number will be invalidated. From these points, return transport within the time limits will be arranged. In case of injury, the nearest checkpoint must be notified immediately. The checkpoint manager will contact the first aid station. Participants exceeding time limits on the 27 km and 34 km courses will be disqualified and must use the shuttle bus to the finish. Checkpoint managers are required to remove race numbers in these cases. Other reasons for disqualification include: deviating from the official course, littering, ignoring traffic rules or police instructions, and attempting to cheat.

Complaints

Complaints must be submitted by 6:00 PM on the day of the event. The jury consists of the race director and three persons selected for their expertise. They will decide on all complaints within the race-specific deadlines. Jury decisions are final.

Changes to the Course or Time Limits

In extreme weather conditions, the organizer may change the course or time limits, or cancel the race. In such cases, no refund claims are possible.

Dog Trail / Dogs

A dog owner is defined as the person listed as such in the dog’s registration. The owner is responsible for ensuring that their dog complies with all applicable legal regulations. The owner is civilly liable for any damage caused by the dog and should have appropriate liability insurance. Allowed: harness or collar (adjusted and comfortable), leash or lanyard with shock absorber up to 2 m long. Prohibited: choke collars, electric training collars, and prong collars. The dog must always be treated appropriately. The welfare of both dog and owner is paramount. Participants will receive dog waste bags before the event and are required to remove their dog’s waste and dispose of it in the bins provided along the course.

RGDP

The information provided during registration is necessary for your participation in the DKV Urban Trail. It is processed in accordance with Regulation (EU) 2016/679 of May 24, 2016. Foto Service

During the event, sports photographers (SportOnline, Wolfgang Nass, Hintergasse 8, 67125 Dannstadt-Schauernheim, Tel.: +49 171 4110095, E-Mail: info@sportonline-foto.de) will take photos and videos. These recordings can be purchased after the event. It cannot be guaranteed that every participant will be captured in a photo or video.

By participating in the event, you consent to the creation, storage, and publication of these recordings. Photos will be publicly visible afterward.

Data processing is carried out in accordance with Art. 6(1)(a) and (b) GDPR. Access to the photos and videos will be blocked 24 months after the end of the event, with final deletion occurring no later than 36 months afterward.
